Google Workspace vs. Microsoft 365: Which is Best for Your Business? (Full Report)
When it comes to business productivity tools, most companies choose between two major ecosystems: Google Workspace or Microsoft 365. While both platforms offer powerful tools, a recent large-scale study by the independent research firm Hypothesis Group, the latest comprehensive report, clearly shows why more and more organizations are choosing Google.
In this blog, we will take a detailed look at the study’s results, which evaluated the impact of these two platforms on Artificial Intelligence (AI) adoption, cybersecurity, infrastructure costs, and ultimately, business growth.
Study Methodology: Who and How Were They Asked?
To maintain objectivity, the study was conducted in a “blind” format, meaning respondents did not know who commissioned the survey.
- Number of Respondents: 1,602 full-time employees were surveyed.
- Geographical Coverage: USA, UK, Germany, France, India, Japan, and Brazil.
- Organization Sizes: Small and Medium Business (SMB, 5-99 employees), Mid-Market (100-999), and Large Corporations (Enterprise, 1000+).
- Period: June 16 – July 9, 2025.
The data was analyzed according to 4 main pillars.
1. Pillar 1: The Real Value of Artificial Intelligence (AI)
In recent years, AI has been the main topic in the tech world; however, for businesses, it is crucial how much of this “hype” turns into real value. Google’s Gemini clearly outperforms Microsoft’s Copilot in user satisfaction and practical benefit.
Real Value vs. “Hype”
82% of Workspace users believe that the AI features built into the platform offer them real value (for M365, this figure is only 66%). Notably, Workspace users are 17 percentage points (pp) more confident that they can easily integrate AI into their workflows. M365 users are far more skeptical in this regard.
Return on Investment (ROI)
The most important indicator for a business is financial benefit. Gemini users report a 15 percentage point higher ROI on their investment (54%) than Copilot users (39%).
In What Specific Tasks Do They Use AI?
The study broke down traditional office tasks and showed a very large gap in favor of Google Workspace:
- Deep Research: 22 percentage points (+22%) more Workspace users cited the ease of conducting complex research.
- Organizing and Structuring Data: A 21 percentage point (+21%) advantage for Workspace.
- Text and Image Generation: A 21 percentage point (+21%) difference.
- Automating Routine Tasks: A 20 percentage point (+20%) difference.
- Technical Writing and Coding Support: An 18 percentage point (+18%) difference.
- Stimulating Creativity: An 18 percentage point (+18%) difference.
Enterprise Segment Example: In corporations with more than 1,000 employees, the difference is even more pronounced. 85% of enterprise users believe that Gemini creates real value and is not just a marketing term (only 66% say the same about Copilot).
2. Pillar 2: Reducing IT Costs and Cybersecurity
For any enterprise, the complexity of IT infrastructure is directly related to operational costs and cyber risks. The study showed that Workspace’s Cloud-First tradition makes their product much lighter to administer.
Cheaper and Simpler IT Operations
The absolute majority of respondents—77%—state that Workspace is relatively cheaper and easier to manage from an infrastructural point of view. For M365, this figure is 64%. In the case of large enterprises, Workspace’s efficiency increases to 79%.
Sharp Increase in Security (Decrease in Incidents)
Cybersecurity is the #1 priority today. Real statistics on the decrease in incidents are one of the strongest arguments:
- Every third (33%) Workspace user noted a real decrease in security incidents over the last 24 months. Among Microsoft 365 users, this figure is 22%.
- In addition, Workspace significantly leads M365 in specific threat prevention categories:
- Protection against Phishing and Malware: +12% higher satisfaction.
- Data Protection and Encryption: +13% difference.
- Industry Compliance: +12% difference.
- Endpoint/MDM Management: +11% difference.
“For us, moving to Google Workspace was a huge leap in security, as its threat detection and prevention mechanisms were integrated directly into our infrastructure,” noted one interview in the study.
3. Pillar 3: Employee Satisfaction and Retention
You can’t build a business if employees are constantly frustrated by complex programs and glitches.
Employee Loyalty
Good technology helps people feel better in the workspace. Interestingly, 76% of respondents believe that Google Workspace helps the company attract and retain top-level talent (Retention). The corresponding figure for Microsoft 365 is 58% (a giant 18-point difference).
NPS and Ecosystem Satisfaction
- NPS (Net Promoter Score): Workspace’s loyalty and recommendation index is 53, against M365’s 46.
- Recommendation to Friends: 86% of Workspace users would actively recommend their applications (Docs, Meet, Drive) to colleagues.
- Brand Perception: When asked which words they would use to describe the platforms, Workspace is more associated with terms like “Innovative” (47% vs 40%) and “Collaboration-enabling” (41% vs 36%).
The concept of Workspace, where everything works in the browser, leaves users with the impression of a much lighter and more intuitive system compared to relatively heavy M365 programs (e.g., Outlook locally).
4. Pillar 4: Real Productivity and Revenue Growth
When technology works properly, the team becomes more effective, which ultimately reflects on the company’s financial results.
Team Productivity: 85% of respondents believe that Google’s style of collaboration makes their team more productive (M365 - 75%, +10%). Furthermore, with the mobile experience, 81% of Workspace users are absolutely satisfied (M365 - 67%).
Direct Revenue Growth: The most cumulative result: 66% of companies in the study that use Workspace reported direct revenue growth in the last 2 years (M365 - 52%). Moreover, 75% of these companies confirm that the platform’s flexibility and speed played a significant role in this financial growth.
Third-Party Integration: A business cannot live in only one ecosystem. It is important how the platform “friends” with other applications like Salesforce, Asana, Slack, and others. In this direction, 80% of enterprise users say that Workspace’s integration with other services is seamless. In the Microsoft ecosystem, only 62% express the same satisfaction.
Small and Medium Business (SMB) Perspective
For small and medium companies, resource optimization is even more critical. In the small business (5-99 employees) segment:
- 78% state that Workspace exclusively helps them discover new opportunities in the market (in M365, this figure is 63%, a +15pp difference).
- In terms of simplifying business processes, 75% see the advantage of Workspace.
Final Conclusion
The results of the 15-page large-scale study are unequivocal and explainable: Google Workspace is much more than just an email server and a text editor.
